Description

General Purpose of the Position

Provides administrative support to the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following. May perform other duties as requested or assigned.

  • Provides overall administrative support to the department, the SVP of People and Planning and other executives as requested.
  • Manage the reception area, answering phones and greeting guests
  • Makes calls and manages calendars for leadership.
  • Updates and maintains the department Chirp (intranet) pages and outlook calendars including room reservation.
  • Coordinates pre-employment activities and assists and facilitates New Employee Orientation (NEO) sessions.
  • Ensures and examines personnel files are updated and responds to inquiries for authorized persons.
  • Takes minutes for departmental and executive level meetings.
  • Produces a monthly newsletter for the organization and other related material.
  • Updates and organizes the department shared drive(s).
  • Updates and manages the department calendars.
  • Orders gifts/flowers for employees for certain occasions as requested.
  • Updates and maintains job descriptions.
  • Complete filing for HR, file maintenance, preparation for document scanning and upkeep of file room, support for department meetings, collect and distribute mail.
  • Ensure required law posters are up to date in all locations, staying abreast of changes.
  • Coordinate all logistics for meetings, trainings, and other events, including: food & beverage ordering, room set-up, and materials.
  • Assists with the on-boarding process through the collection and processing of new hire forms and paperwork including I-9 and credit and background checks.
  • Completes and submits required reports including expense reports.
  • Coordinates and books travel accommodations for candidates and current employees.
  • Orders office supplies and maintain inventory.
  • Assists in maintaining and updating organizational charts.
  • Completes research, reports and produces letters/memos as requested.
  • Contributes to team effort by completing tasks and projects as assigned as well as assisting departments as requested.
  • Ability to maintain confidentiality.
  • Adhere to all Federal and State laws and regulations applicable to the credit union, including the Bank Secrecy Act and OFAC.

 

 

 

Requirements

EDUCATION AND EXPERIENCE:

High School diploma plus two to three years of related experience. Familiar with Human Resources and Learning & Development concepts, practices and procedures. Experience working in a professional environment, taking direction from multiple individuals. Previous experience creating reports and presenting on data is required.

OTHER SKILLS AND ABILITIES:

Excellent interpersonal, written and verbal communication skills. High regard for confidentiality. Ability to work in a team environment while being proactive. Able to thrive in a fast-paced environment with multiple interruptions while staying on task. Strong attention to detail and accuracy. Exceptional organizational and time management skills. Demonstrated ability to problem-solve. Microsoft Office Suite (Outlook, Excel, Word, Access, Publisher), printers, copiers, scanners, and fax machines

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is typically required to sit for long periods. The employee continually is required to talk or hear. The employee is occasionally required to stand, walk, stoop and reach with hands and arms. The employee will occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
