The Executive Assistant will manage administrative and other assigned functions for the President/CEO, making it possible for the President/CEO to focus on other matters associated with directing the Credit Union.

Essential Functions & Responsibilities:

  • Provides confidential administrative support to the President/CEO. Composes letters and memoranda from verbal direction or from knowledge of organizational policy or procedures; edits written communication documents.
  • Maintains the President/CEOs daily appointment calendar; makes travel and lodging arrangements as required.
  • Prepares agendas for and takes/transcribes/distributes minutes of meetings that include Board, ALCO and other responsibilities that may be assigned.
  • Populates, maintains and administers U.S. Eagle's electronic Board and Committee document system for all Board, Volunteer and Executive team members.
  • Assists and provides confidential administrative support to the President/CEO, Board of Directors, and Volunteer Committees.
  • Collects and prepares information for the President/CEO's use in discussions and meetings with other credit union managers, employees and outside individuals.
  • Assists the President/CEO and Board Chair with the preparation of monthly BOD meeting and ensures that notices, agendas and reports are coordinated and sent in accordance with Board policy.
  • Coordinates issuing and closing of Board and Executive corporate credit cards.
  • Provides administrative support to Executive Management staff as directed by President/CEO.
  • Coordinates with Internal Audit and Nominating committee for Board elections
  • Coordinates arrangements for Board of Directors, Committee and other meetings. Arranges for reservations of meeting rooms, meals and necessary technology. Communicates with Board members regarding dates, locations and times of Board and Committee meetings. Works with vendors to arrange meetings, including contract negotiation with hotels and other vendors for events.
  • Sets up and maintains paper or electronic filing systems in relation to the Board and President/CEO. Follows record retention procedures and purges files appropriately.
  • Coordinates with federal examiners, internal and external auditors to provide requested information.
  • Provides superior member experience by actively listening to and assessing the needs of the member, identifying and recommending solutions, and referring members to the appropriate person or department.
  • Arranges and attends monthly committee meetings.
  • Receives and screens visitors and telephone calls to include member problem resolution. Notifies Executives of visitors. Gives information to callers, takes and delivers messages, or transfers calls to appropriate individuals.
  • Serves as a liaison between Executive management team and the staff as needed in the coordination of annual events.
  • Prepares or assists in the preparation of assigned reports.
  • Operates computer and other office equipment such as fax machines, copiers, and phone systems. Arranges for repairs as needed.
  • Performs other related duties as assigned.

Skills / Requirements

Experience:

  • Three years to five years of similar or related experience.

Education:

  • Equivalent to a college degree (BS or BA in a relevant field).

Other Skills:

  • Excellent organizational and editing skills; typing skills utilizing Word at or above the 75 percentile in speed and 90th percentile in accuracy; proficient with spreadsheets; shorthand a plus.
  • Demonstrated ability to handle difficult situations and persons in a positive and professional manner.
  • Demonstrated leadership ability.
  • Able to formulate creative solutions that strengthen the Credit Union's relationship with members and business partners.
  • Functions effectively within a team environment.

Schedule:

  • This is a full-time, exempt position.
  • Monday - Friday, some Saturdays and evenings required.
